An invoice contains a date, invoice number and amounts. With Depono, you can check these details alongside the original and then put them to use.
Upload an invoice
Choose your PDF or scan. Your document is already accessible after upload while Depono processes its details.
Check the recognised values
Review the invoice date, number, stated gross, net and VAT totals, and currency. You can correct the details. Missing values stay blank.
Continue in your spreadsheet
Select the invoices you need and copy their details, including column headings, into your existing spreadsheet. The documents remain easy to find in Depono.

Who sent it? What does it belong to?
An invoice comes from a supplier. It can still belong to a job for your customer. Depono keeps these relationships separate: sender, document type, customer and project answer different questions.
You choose which customer or project a document belongs to. You can assign several documents together when uploading them.

Frequently asked questions
Do I need to move my entire filing system first?
You can start with a few of your own documents and try the workflow. You do not need to move your entire existing filing system to do that.
Does Depono replace my accounting software?
The initial focus is on documents and their details. You can reuse recognised invoice data in your existing spreadsheet. Automatic bookkeeping is not included.
Are customers and projects assigned automatically?
You choose these assignments yourself. When uploading, you can assign several documents to a customer, project or document type together.
What happens if an amount is missing from an invoice?
Depono uses the totals stated on the invoice. A missing net, gross or VAT amount stays blank and is not calculated from other amounts.
Can I use Depono for both personal and business documents?
Yes. You can create separate workspaces for each. Suitable templates help you get started. You can then adapt the templates and your filing setup.
